Information for Summer Program Administrators
Program Registration

The Summer Registration Portal (SRP) will centrally collect information from summer program administrators and departments for the purpose of registering all undergraduates who will be on campus this summer.

Data collection through the portal will take place between March 11th and April 29th.

Program administrators will be required to submit all their student registration information directly through the SRP Portal.
For programming that is Residential Only, Program administrators should indicate in their SRP portal submission whether their student has a Standard Room Board Plan (14 meals/week) or a Full Room Board Plan (21 meals/week). This will automatically ensure that your students receive housing on campus.
For programming that is Residential Only, Program administrators should still submit all their SRP student registration information into the Portal.
- For Princeton Students, Program Admins should direct the students who need on campus housing to request their housing directly through the HRES portal prior to April 29th. When the program admin puts these students into SRP, simply mark their housing option as N/A.
- For Non-Princeton Students, Program admins should gather their housing information. If the student needs on campus housing, Program administrators should indicate in their SRP portal submission whether their student has a Standard Room Board Plan (14 meals/week) or a Full Room Board Plan (21 meals/week).
Housing lists should not be sent via email to any department.
Program Manager/Department Responsibilities

Departments must designate a representative to be a COVID Officer. The responsibilities of the COVID Officer are as follows:
- Obtain participant plans for immediate departure from campus without the use of public transport should he/she/they become ill and be positive for COVID-19, unless the criteria for isolation on campus are met.
- Procure and make available home antigen kits for symptomatic testing.
- Become familiar with the testing procedure within these kits.
- Observe any participant with symptoms perform the test and interpret the results; this observation can occur over video conference.
- Be responsible for informing any positive participant that he/she/they have to leave if positive, unless the criteria for isolating on campus are met.
- Escort positive participant off campus, unless the criteria for isolating on campus are met, in which case ensure the participant has clarity regarding where they will isolate.
- Be responsible for contacting University Services about securing isolation housing, either in place or in separate isolation dorms, if isolation criteria are met.
- Be responsible for ensuring there is a plan for the participant to obtain meals while in isolation. (Some groups do not participate in meal contracts so another means of obtaining meals might be necessary.)
- Be aware of the location and hours of local urgent care centers and hospitals for urgent/emergent care of participants in programs.
- For those programs whose participants may isolate on campus, collect all relevant medical information including medications, allergies, chronic illnesses, complete immunization status, along with emergency contact information and insurance information.
- COVID Officer must be available 5 days after the end date of the program to assist with isolation management if a program participant is in isolation.

Program administrators must provide Conference and Event Services with the a departmental chart strings for room and board charges or indicate participants are Self-Pay by May 15th. Please see the below changes associated with the billing process.
- Any roster changes are due no later than July 1st.
- Housing and Dining portions will be charged at separate times.
- Dining will begin billing for their portion of the whole summer on July 2nd.
- CES will invoice housing and other charges after August 4th.
- CES will no longer be prorating weekly stays for SRP students. Housing and Dining costs will be charged on a weekly rate from Sunday - Saturday.
- Individual pay students (Princeton Students) will be billed by the Service Point or may pay their bill in person at the Service Point

Summer Program Administrators must identify a Conduct Administrator within their program. The Conduct Administrator is responsible for reporting any conduct related issues. The Summer Management Infractions Group adjudicate any infractions for non-Princeton students. Princeton students are still governed under RRR and ODUS handles any violations by Princeton students.
A Conduct Administrator does not have to be the Summer Program Administrator.

Princeton University Students
Princeton University students can hit a hot spot on campus to have their access updated and can move into their assigned room anytime on or after their designated check-in date.
Non-Princeton University Students
All Summer Village Residents who do not attend Princeton University, residing in University Housing must check-in at The Service Point in the New South Building on June 2nd between 12:00 p.m. - 4:00 p.m. *Students may not arrive before their designated check-in date.
There will be staff members onsite to assist. Students will be able to pick up their Tiger Card at the Service Point, and will receive other helpful materials about summer at Princeton University. Families and students may park in the Theater Drive garage upon their arrival to campus.
Summer Village Residents who do not attend Princeton University will need to pick up their Tiger Card and check-in at Public Safety at 200 Elm Drive if they arrive after 4:00 p.m. on June 2nd.
Students arriving to campus after their designated arrival date should pick up their keys at the following locations:
The Service Point - A Level, New South Building – Monday-Friday between 8:30 a.m. - 4:30 p.m.
Public Safety - 200 Elm Drive – Weekends and Weekdays after 4:30 p.m.
All students from other colleges and universities will be asked to sign the Summer Code of Conduct form at check-in. Princeton University students will receive the agreement electronically.

There is no formal check out process for Summer Village Residents. Your key is valid until your move out date. Please remove all belongings from your room.
Housing

Contact your program administrator to confirm if your summer program is Residential Only or Residential Optional.
If your program is Residential Only, your program administrator will reserve your on-campus housing on your behalf.
If your program is Residential Optional, you can choose to live on or off campus. If you are a Princeton student and would like to live on campus, you must request on campus housing directly through the HRES Portal by April 29th. If you are a non-Princeton student and would like to live on campus, please notify your program administrator and they will request housing on your behalf.
For Princeton students only, if you need housing between the end of the spring semester and the beginning of the summer housing period (May 17th - June 2nd) please follow the below steps to request Interim Housing:

To stay on Princeton’s campus (as a Princeton or non-Princeton undergraduate), the weekly fee is $475, and that includes both a room and 14 meals per week. A 21 meals per week plan is available for $570 per week (including room and meals).

All students on campus participating in a summer research program or internship program will be housed in an air conditioned room. Students will be housed together in the new Summer Research and Learning Village, designed to foster community amongst participants. Most rooms will be multiple occupancy. Information regarding dorm and room assignments will come during the Spring 2024 semester.

Yeh/New College West Dining Hall will serve as the dining facility for all summer program interns.
